How do I use the Email Template Editor?

In this article, you will learn how you can customize the emails sent from Lemontaps to users and new contacts according to your corporate design and wording. This will ensure a consistent appearance and a strong brand identity in your correspondence.

Short checklist

Our customers use our templates as a basis and change the following points for all emails and all language templates:

  • Font
  • logo
  • For invitation emails: the wallets that are required
  • If SSO user: the login link instead of the access link. More information on this in the FAQs below.
  • Some link to further information on the intranet


Email Templates

The following templates can be customized:


1. Invitation emails to employees: These are the emails that are sent as soon as you create and invite users via the Admin Dashboard. 


2. Contact form - email to contact: This is the email that is sent as soon as someone signs up to the contact form. The email contains the contact data file (.vcf) and the link to the digital business card profile. 


3. Contact form - internal notification: Your users receive this email as soon as someone registers with you in the contact form. 



Please note that emails such as "Set new password" cannot currently be personalized.

Language Settings


You can create emails in different languages and depending on the language setting of the user or profile visitor, the email will be sent in the corresponding language. 


Create the email for each language.


What is the "default" language for? 
The default language is used as a fallback language if no language has been assigned to the user or profile visitor. For example, if you say that if the language settings are unclear, it is likely that the person speaks English, then create the default language in English.

Customize Email Templates - Drag & Drop


The editor is divided into 3 parts. 

In the middle is the email template, on the right are the editing options and on the left you will find new elements that you can add to the email template.  


1. Select an email template: e.g. "Invitation emails to employees" and language "German"


2. Customize the subject: On the right-hand side, you have the option of defining the subject. In the example subject, you will also see a placeholder that would insert your organization name. You can find out more about placeholders in the next section. 


3. Customize elements in the email template: Click on the individual elements of the template and you can, for example, click directly on the text and write something new straight away. At the same time, the editing options for each element appear on the right-hand side. These include, for example, adjusting the font and font size, as well as inserting images such as the logo or links. You can simply move the elements using drag and drop. As soon as you have clicked on an element, you can also delete it again. 


4. Add new elements: On the right-hand side, you have the option of adding the following elements: 

  • Additional text elements
  • Image 
  • Buttons
  • Divider: This is a dividing line 
  • Spacer
  • Wrapper: This is a group that you can create, to which you can add further elements 
  • Google Wallet (online and offline)
  • Layout columns: For example, a layout with 2 columns.


5. Preview: In the center, when you click on the "Desktop" or "Mobile" icon, you have the option to preview the desktop and mobile version.


6. Send test email: Click on the Send test email button and enter an email of your choice. Test how the email looks in "live" and check everything again. 


7. Save: Don't forget to save the new email!

Placeholder


You can use the following placeholders in the email templates, which will be replaced accordingly. You can also find these directly in the email template editor in the editing line.


Invitation emails to employees: 


$firstName$ -> first name of the user

$lastName$ -> last name of the user

$company$ -> company name of the user

$Set_Password_URL$ -> URL to set the password

$Main_Account_Email$ -> Email of the main account

$LOGIN_URL$ -> URL to get to the login


Contact form - e-mail to contact: 


$NAME$ -> First and last name of the Lemontaps user

$VCARD_LINK$ -> URL which automatically downloads the .vcard (contact file)

$ACCOUNT_PUBLIC_URL$ -> URL which opens the Lemontaps profile

$PROFILE_PIC_URL$ -> Profile picture of the user 

$PROFILE_PIC_URL$ -> Profile picture of the user

$COMPANY$ -> name of the company

$POSITION$ -> Position of the Lemontaps user

$EMAIL$ -> Email of the Lemontaps user

$PHONE_MOBILE$ -> Mobile phone number of the Lemontaps user

$PHONE_WORK$ -> Business phone number of the Lemontaps user

$ADRESS$ -> Address of the Lemontaps user

$ADRESS_LINE_1$ -> Address line 1 of the Lemontaps user

$ADRESS_LINE_2$ -> address line 2 of the Lemontaps user

$CITY$ -> City of the Lemontaps user

$POSTCODE$ -> Postal code of the Lemontaps user

$COUNTRY$ -> Country of the Lemontaps user


Contact form - internal notification:


$RECEIVER_NAME$ -> First and last name of the Lemontaps user

$LEAD_URL$ -> URL, which leads to the contact page of the new contact

$LEAD_NAME$ ->First and last name of the new contact

$LEAD_EMAIL$ -> Email of the new contact 


Subject line: 


$ORGANIZATION_NAME$ -> The organization name you entered under "Team settings" -> "Organization"

$COMPANY_NAME$ -> The company name that is stored in the respective Lemontaps profile


The subject line appears on the left-hand side, which you can change as required.





Questions and answers


1) What do I need to consider if my company uses Single Sign-On (SSO)?


SSO users should use the login link instead of the standard access link. 


An example text could be: 

"You can access your business card profile via the following URL: lemontaps.com/login (or their company domain e.g. vcard.theircompany.com/login).Enter your company credentials as login via SSO works. (Please do not use or click on Linkedin, Microsoft or Google Login)."



2) How do you attach wallets and where do they appear?


We offer two options for attaching wallets. 


Google Wallets as a button: 

QR codes can be inserted in the invitation email for both online and offline use.

To do this, select the relevant element on the left-hand side and drag it into the text field. 

The online version is automatically updated with every change and opens the complete digital profile. The offline QR code does not require an internet connection as it does not update automatically. It leads directly to the .vcf contact file. We recommend providing both options in the email.


Apple Wallets:

You can also attach an Apple Wallet as shown in the screenshot. These then appear in the attachment, but are not visible in the preview. If all employees in the company only have iPhones, customers tend to only attach Apple Wallets.





3) How can I upload and import fonts? 


To upload your own fonts, go to "Create your own font", name the font and add the URL. For Google or Adobe Fonts, simply copy the URL of the corresponding font and paste it here.



Select the desired font via Google Fonts https://fonts.google.com/ and copy the URL at the bottom left.



Adobe Fonts: This is a paid service.



4) Why does the Lemontaps branding appear in my email signature and how can I remove it?


Lemontaps branding in the full version of the Email Editor: 

  • Lemontaps branding appears in the footer because emails are sent via the Lemontaps email address (regardless of the plan).


Lemontaps branding in the light version of the Email Editor:

  • In the Light version (without the paid add-on), the Email Editor shows the Lemontaps branding at the beginning and at the end of the email in the preview.



5) What restrictions do I have in the light version? 

  • Only text editing is possible
  • No addition of photos 
  • No customization of the design

6) What happens if I only edit the default e-mail?


If only the standard e-mail is edited and the en and de remain unchanged, then the standard e-mail is always sent (regardless of the language settings).
