Email signature not displayed – What can I do?

In this article, you’ll learn what you can do if your email signature is not being displayed.

If your email signature is not displayed, in many cases this is not due to a technical error but rather to simple settings or a temporary synchronization issue.


Please go through the following steps in order.


1. Initial basic checks (please always start here)

Before diving deeper, please check the following:

  • Are you using the latest version on all devices (Outlook Web, Desktop, Mobile)?

  • Sign out of Outlook and sign back in

  • Restart your computer or smartphone

  • If you are using an add-in:

    • Uninstall the add-in

    • Reinstall it afterward

Note:
If the add-in was deployed centrally by your IT department, Microsoft may roll it out with a delay. In this case, a bit of patience often helps.


2. The signature is still not displayed

Have you completed all steps in section 1 and the signature is still not showing? In most cases, there are two possible causes:

  • The add-in is not being loaded

  • No applicable rules are assigned to your user


2.1 Check whether the add-in is active

Create a new email (automatic signature)

  • Open a new email

  • Is the signature inserted automatically?

    • Yes → The add-in is active

    • No → Please continue checking


Open the add-in sidebar (Desktop & Web only)

Note: This step is not available on mobile devices.

  • Open the signature add-in sidebar in the email editor

  • Important:

    • Is the add-in icon visible?

    • Can the sidebar be opened?

Simply being able to open the sidebar confirms that the add-in is loaded correctly.


2.2 Check whether the rules apply

  • This usually means that no rules apply to your account

  • Please review your rules or adjust them for testing purposes


Add a recipient (also important on mobile)

  • Enter a recipient in the “To” field

  • The signature will then be re-evaluated

  • Is it displayed now?

    • If yes, the issue was related to the rule configuration—not the signature itself


3. When should you contact support?

Please contact support if all of the following apply:

  • None of the steps above resolved the issue

  • The add-in is clearly loaded (icon and sidebar are visible)

  • No signature appears despite correct rules

To help us assist you quickly, please include the following information:

  • Any error messages

  • Screenshots or screen recordings

  • The affected user’s email address

  • When the issue started occurring

  • A short description of what exactly is not working
